Choose the simplest fit
Walk through the real task. If your existing software or a general AI tool is enough, start there.
aidefi connects one recurring task to the systems your staff use, tests the difficult cases, and hands it over with training and clear operating responsibilities. Start with one resident inbox and a queue your staff can review.
Free consultation · Municipal pilots from $2,449
Resident emails arrive with incomplete locations, repeated reports, and unclear ownership. We scope a workflow that prepares that information for the staff member who decides what happens next.
Fictional example, not a customer result or live system.
Software access is only part of the job. Your project covers the agreed design, system connections, exception handling, testing, and staff handoff. A separate support scope can define how we help keep it working.
Walk through the real task. If your existing software or a general AI tool is enough, start there.
Configure the agreed sources, preparation steps, review queue, and staff approval points.
Try ordinary requests, missing information, duplicates, and connection failures with your staff.
Train staff, document operation, and agree who handles issues. Ongoing support is scoped separately.
One fixed scope, named deliverables, and a written quote before development. Typically 12 weeks of elapsed calendar time, depending on access, sample data, and staff review.
The quote separates development, software usage, hosting, and support. Business projects are quoted separately.
Discuss fit before committing →The written scope identifies one intake source, a defined request category or set of categories, and a staff review destination. Connections depend on the permissions and interfaces available in your systems.
The starting scope does not imply a replacement for your records or work order system, unrestricted access to every department, automatic public responses, emergency dispatch, or decisions on permits, payments, or records release.
Additional sources, custom integrations, data cleanup, hardware, software usage, hosting, ongoing support, and later changes are identified and priced separately where needed. The written quote controls what is included.
Municipal pilots typically take 12 weeks from signed scope to handoff. This is elapsed calendar time, not a dedicated engineer or a promise of full time staffing.
System access, usable sample data, purchasing steps, and timely staff reviews affect the schedule. Responsibilities, milestones, and any dependencies are agreed before development.
Client data is hosted in aidefi’s on premises data centers or on the client’s premises. Models run locally. Data does not enter cloud services unless otherwise noted in the project arrangements.
Project data and website inquiry handling →These controls are part of the written design and test plan. AI can make mistakes. Acceptance criteria and human review matter more than a polished demonstration.
Bring one recurring handoff in customer intake, document checks, or reporting. We assess whether implementation is needed and quote the business scope separately.
A request brief, missing information, and draft next steps for your team to review.
Explore intake workflows →A review list of mismatches and missing evidence, linked to the available records.
Explore document workflows →A draft status brief with source references, unresolved questions, and decisions needed.
Explore reporting workflows →Illustrative scopes, not packaged products or customer results.
Inspection notes, work orders, and vendor reports often describe the same asset differently.
Read article →Reports about the same blocked drain can reach different teams.
Read article →When a street floods, a resident's photograph, maintenance history, and drainage responsibility may sit with different organizations.
Read article →Sometimes that is the right answer. A general AI tool or a feature in your existing software may be enough for drafting, summarizing, or occasional analysis. We look for a recurring process that needs agreed connections, review rules, exception handling, and someone responsible for implementation.
The deliverables in your scope: a configured workflow using approved sources, a staff review process, test results, operating instructions, and training. The quote also states hosting arrangements, software charges, access and ownership terms, and any separately agreed support.
Agree representative examples, review criteria, and a baseline before building. Compare preparation time, corrections, missing information, and staff effort, including review and running costs. A pilot can show that a workflow needs more work or should not expand.
You review the result against the agreed criteria. Ongoing support is separately scoped and priced, with responsibilities, issue handling, and change requests made explicit. The pilot does not include unlimited support or a guarantee of uninterrupted operation.
Describe one recurring task, the systems involved, the person who reviews it, and what a useful output would look like. Do not send confidential records through the website. We can agree a suitable way to share redacted examples later.
