Your ERP Works. The Gaps Are Costing You.

By , General Manager, aidefi

Your sales team closes a deal. Someone retypes it into the ERP. Finance fixes the customer name. Operations calls to ask what was sold. Congratulations: you bought software and kept the paperwork.

A forward deployed AI engineer works inside that mess with your staff. The job is to understand how orders, inventory, invoices, and customer records actually move, then build the connections that make the process reliable.

Start where the money gets stuck

For a small or medium sized business, one useful starting point is the journey from an accepted quote to a paid invoice. An agent can extract details from an approved order, find the customer record, flag missing information, and prepare the next transaction. People approve commercial exceptions. The ERP remains the authoritative record.

Design the system before adding intelligence

Agree which application owns each piece of information. Give customers and orders stable identifiers. Define what happens when a connection fails. Use supported APIs, the controlled doors applications provide, and a queue to hold work until the receiving system is ready.

Make retries safe. If a connection drops after creating an invoice, check whether it exists before trying again. Your customer ordered once. Sending two invoices is not ambitious growth.

Connect the business, not just the screens

An engineer can connect the CRM, ERP, warehouse tools, accounting system, and service inbox around a defined workflow. Ordinary code handles exact calculations and fixed rules. AI helps interpret messy requests and assemble context for exceptions. Both need clear permissions and a record of what happened.

Start with one process. Measure handling time, failed handoffs, corrections, and cash impact. Include support and review costs. Expand when the numbers hold up.

The benefit is less copying, fewer dropped orders, and staff who spend more time serving customers. Another dashboard can wait. Make the damn handoff work.
